How to use CRM
Search for existing customers or contacts by searching the search box in the top menu and clicking on the customer or contact.
Let's say you're looking for a customer. When you access the customer card, you first and foremost come to an overview page (the Information tab) where you get an overview of the customer:
- contacts that are associated with the customer
- activities (tasks) connected to the customer
- wall where you can write notes that relate to the customer
- projects associated with the customer
- sales opportunities associated with the customer
- categories to which the customer belongs
Furthermore, you can go make changes to these, add new ones, and delete. This eliminates the need to go to the project module to create a project, or to go to the calendar to add a task.
The various tabs on the customer card
Customer Information
The first route contains customer information to the customer, such as customer name, customer number, organization number, address, and so on. The buttons at the bottom right of this pane are for deleting the customer, changing the note, changing the business information which is the same information as when you create a new customer, and you can merge or create a new order under the Actions button.
Contacts
In the Contacts tab, you can manage contacts, or you can access the contact cards by clicking on the name of the contacts.
Touch the plus sign to add a new contact to the customer. In the box that pops up, you will have the opportunity to look up an existing contact and link it to your business, or you can click the New Contact button to create a new contact.
Select a contact to make changes to the contact, merge, or delete it. Deleting contact from a customer card means removing only the link between that contact and the customer. If the contact is to be completely removed, it must be done from the contact card.
You'll find the same on contacts found on customers, outside of sales opportunities. And the difference, of course, is that you see the customer as the contact possibly connected, and not the other way around.
In the Email tab you will find an overview of emails that are linked to the customer card. When you add email addresses to customers and contacts with customers, and you send and receive mails to and from these addresses, these emails are automatically connected to the customer and the contact if you and the other employees of the company have set the setting before.
NB! If mailer is deleted from the mail module, they will also disappear from the customer card.
Documents
Here are all documents associated with the selected customer. This file area works in exactly the same way as in classic CRM.
Call Log
If you have a telephone solution connected to your CRM, your call log will be updated in the system. You then have the opportunity to see an overview of phone calls people in their company have called when you choose to call from CRM, and which phone calls have called you. The prerequisite is that the customer's telephone number is in the CRM, and settings for having the telephony connected to your CRM are set up correctly. See more information about this here.
Order
In the orders tab you will see an overview of orders and invoices created for the customers. You can also search for orders, print orders from here, send or delete.
To create a new order from the customer card, you must do so from the Information tab and under the Actions button located at the bottom right of the customer information box.
Ledger
At the top you have the choices between viewing the customer account or supplier account, and further you can choose to see open records, closed records or all records.
To make a link, select the entries to be linked, and then right-click with the mouse pointer.
- To select multiple entries, hold down CTRL on the keyboard while simultaneously clicking on the entries.
- To select a list of x number of records, hold down SHIFT on the keyboard while first clicking on the top entry, then the bottom entry in the list.
Link records: Link to selected records.
Remove link : Cancels the link in its entirety, and all records previously associated with this link will be moved to "open records."
Remove mail from link : Removes selected mail (s) from current link.
If the link created has balance = 0, the link (s) will be moved to "Closed records."
In "Show Closed Entries" you will see that entries that are linked together have the same Link ID. For a better overview we recommend sorting the list by Link ID as shown in the picture above.

Refers to the to-do list that is also in the calendar under View Tasks.
