You can find this module under Administration> Import.
To get a large number of customers, suppliers, contacts or leads into the system, this import function can be used.
Remember:
1) We only support Excel, comma separated .CSV format.
2) It is not possible to link multiple Excel columns to the same field in the system.
3) Review the Excel sheet and double check before importing
4) The Excel sheet MUST be in the correct format and with explanatory titles in the different fields. That is, the top row must be well explanatory so that the columns are imported into the correct fields in 24SevenOffice.
Preferably use our terms that are in the CRM or the ones in the import guide. All columns to be imported must be formatted as text . (Select all the fields in the excel sheet, right-click and select the format, where you select text).
If this is not done, you risk that data is not imported correctly into 24SevenOffice.
Example of setup in Excel for importing companies with associated contacts. Note : if there are multiple contacts, the company is entered according to the number of contacts.
How to import?
Importing is done in a few simple steps. In the first image, select what you want to import into the system:
Once you have decided what to import, click next to get to the next step.
In the next image, select the encoding on the Excel file you want to import.
To check which type of coding that exist on your file.
Then click where it says "1. Click here to select file », find the file on your computer and select it.
Then click where it says "2. Click here to copy selected file to import server »before you can click Next.
Once you select which file to import, the system analyzes the fields from your Excel file. In the next step of the import, you will have the opportunity to choose which column to match to which field within the system (CRM). If there are some fields that the system fails to recognize, you must select which field to associate with manually.
Now you can choose to preview the data that will be imported, you can do this as an extra check to make sure you have selected the correct encoding on the file before you click to import. It is recommended to double check that all data is linked to the correct field by reviewing the preview.
If everything seems to be okay, you can close the preview window and complete the import by clicking the "import" button in the bottom right of the window.
The fields in the Excel document are now imported and you can see the progress of the import. If everything is in order, you will receive a box with the message "Completed". You then press ok and you can find the imported fields in the system.
NB! If you need to delete an import job, then customer service can be contacted to do so within a week. Note down which import job the import has (this is in the upper left of the image above, and in this example it is import job 4) and ask us to delete it. If import jobs are to be deleted, then you do not need to make any changes to what you have imported in the meantime, as this may cause errors in your database. So, look over the import right after it's done, and contact us as soon as possible if anything needs to be corrected. If it has been over a week since you imported, you must hire a consultant to delete the import job, and you must then pay for at least one hour of consultancy. This is because it then has to be done manually.
